A training record management system is marketed on its dashboards and judged, in the end, on four plain jobs. The first: it has to hold one record per person per course, with the date, the trainer's sign-off and the expiry, because that row is what the inspector, the insurer and the client audit read. It has to read the matrix from those rows rather than from a second spreadsheet, so the matrix cannot disagree with the record. It has to know when each holding lapses and say so before it does, to the person and their manager. And it has to hand the records back out, whole, when the audit asks. Everything else the category advertises is built on those four, and a product that does any of them badly costs more than its subscription. Start from the role, not from the course library
Each role has a list of required courses and sign-offs; the training checklist on this site sizes it. A system that starts from a catalogue of courses and asks you to enrol people has the shape backwards: the record keeper needs to know what each person must hold, then whether they hold it, then when it lapses.
Insist the matrix is read from the records
A matrix maintained by hand beside the records is two sources of truth, and they diverge by the second month. On the demo, add a sign-off to one person's record and watch the matrix cell change; if it does not, the matrix is a report someone updates, and it will be wrong on the day it is needed.
Test the lapse before you sign
Set a course with a twelve month refresher, record it dated thirteen months ago, and see what the system says: it should be expired on the matrix, on the dashboard and in a reminder to the person's manager. How long do we have to keep training records?
That depends on the regulator and the standard that applies to your work, and on your insurer and your clients, and it is their call rather than ours. What we will say is that a record kept per person with the sign-off on it is worth more than a course register kept in date order, because the question in an audit is always about a person, not about a Tuesday.
